01.Agreement to these Terms

These Terms of Service ("Terms") govern your use of the HALCYON Gaming Lounge venue, website, member accounts and related services (together, the "Services"), operated by HALCYON Gaming Lounge ("HALCYON", "we", "us"). By purchasing a pass or membership, creating an account, or simply visiting the lounge, you agree to these Terms.

If you are under 16, a parent or legal guardian must approve your membership and accompany you during late-night hours (22:00–08:00).

02.Memberships & day passes

We offer three access tiers:

• Day Pass — single-day access to any open battlestation.
• Club Member — a monthly plan including 40 station-hours, priority event seating and member perks.
• Pro Squad — a monthly plan with unlimited station-hours, suite time and coaching.

Memberships renew automatically each month until cancelled. You can cancel at any time from your account or at the front desk; access continues until the end of the paid period. Unused station-hours do not roll over unless your plan explicitly says otherwise.

Memberships are personal and non-transferable. Sharing your member credentials may result in suspension of the account.

03.House rules

HALCYON is a shared space. To keep it great for everyone, we ask that you:

• Treat staff, members and guests with respect — harassment, hate speech or threatening behaviour ends the visit immediately.
• Handle the hardware with care and report faults instead of "fixing" them yourself.
• Keep food and drinks in the designated desk zones; the café team delivers everything with spill-safe lids for a reason.
• Do not install software, modify system settings or attach personal storage devices to lounge machines without staff approval.
• Do not use the Services for anything unlawful, including cheating in online titles, account trading or violating third-party game terms.
• Respect quiet zones and the posted noise etiquette on the arena floor.

04.Bookings & cancellations

Battlestations, squad suites, VR bays and sim rigs can be booked up to 14 days in advance through the website or front desk. A booking holds your seat for 15 minutes past the start time; after that, it may be released to walk-in guests.

You can cancel or reschedule a booking free of charge up to 4 hours before the start time. Late cancellations of suite bookings may consume the reserved hours from your plan.

05.Payments & refunds

Prices are shown at the venue and on the website in USD and include applicable taxes unless stated otherwise. We accept major cards and contactless payments; some locations also accept cash.

• Day passes are refundable before first check-in on the purchased day.
• Monthly plans can be cancelled any time; we do not issue partial refunds for the current billing period, except where required by law.
• If hardware failure on our side ends your session early, we restore the lost time to your plan — just tell the front desk.

06.Accounts & player profiles

Your member account stores your settings, saved game profiles, locker assignment and booking history. You are responsible for keeping your login credentials confidential and for all activity under your account.

We may suspend or terminate accounts that violate these Terms, abuse staff or other members, or attempt to compromise lounge systems. Where reasonable, we will warn you first.

07.Events & tournaments

Community events, ladders and tournaments have their own rulebooks published before each event; those rules form part of these Terms for participants. Prizes are trophies, gear, merchandise or membership credit as described in each rulebook.

By attending an event you agree that photos and video captured at the venue may include you and may be used in HALCYON community channels. If you prefer not to appear, tell the crew at check-in and we will flag your seat zone for editors.

08.Liability

We maintain the venue and equipment with care, but to the maximum extent permitted by law, the Services are provided "as is". We are not liable for indirect or consequential losses, loss of game progress on third-party platforms, or personal items left unattended in the lounge. Lockers are available for members.

Nothing in these Terms limits liability that cannot be limited by law, including liability for personal injury caused by our negligence.

09.Changes to these Terms

We may update these Terms from time to time. Material changes will be announced at the venue and by email to members at least 14 days before they take effect. Continuing to use the Services after the effective date means you accept the updated Terms.
